Product Data for a Digital Product Passport: A Checklist

A practical checklist of the data and documents to organize before you publish your first product passport.

Most companies already have the data a product passport needs. The problem is that it is scattered: some in the ERP, some in spreadsheets, some in supplier emails. This checklist helps you see what is ready and what still needs work before you publish your first passport.

1. Product identification

  • Brand and model, as the customer sees them.
  • Catalog number (SKU) and GTIN.
  • Batch or serial number, if the passport covers a specific batch or unit.
  • Country of origin.
  • A product description that makes sense to the customer, not only to the engineering team.

Common problem: the same product has different names in the ERP, the online store and the catalog. Agree on one official version.

2. Material composition

  • A list of materials and components with a percentage share or mass.
  • Country of origin of the materials.
  • The supplier of each material.
  • Whether the material is recyclable.

Common problem: shares add up to more than 100 percent, or a mass is given without a unit. These are errors that are easy to catch automatically before they reach the passport.

3. Documents

  • Declarations, operating and assembly manuals, technical data sheets, safety information.
  • A clear title and type for every document.
  • A decision on which documents are public and which stay inside the company.

Common problem: a document attached to the wrong model, or the same file added several times in different versions.

4. Certificates

  • Certificate name, number and issuer.
  • Issue date and expiry date.
  • The products and materials it covers.

Common problem: a missing certificate number, or an expiry date earlier than the issue date. Another frequent one is a certificate that has expired without anyone noticing.

5. Suppliers

  • Contact details of the person responsible for documents.
  • Country and VAT number.
  • Which materials and certificates come from each supplier.

6. Industry-specific data

Every industry has its own specific information. For furniture, it is for example the wood type and FSC certification; for batteries, the chemistry and capacity. Check which of these are required for your products.

7. Ownership and approval

  • Who fills in the data for each category.
  • Who reviews documents and certificates.
  • Who approves the product for publication.

How to check readiness in practice

In DPPC this checklist is handled by the readiness score: for every product it shows what is still missing and blocks publication until the data is complete. Automated pre-checks catch the typical errors from this list during import, such as material shares above 100 percent, missing units, duplicate documents or wrong certificate dates. Data can be imported from CSV files using ready-made templates.
